Rotation Learning ("we", "us", "our") is committed to protecting your privacy and handling your personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This Privacy Policy explains how we collect, use, store, and disclose your personal information when you interact with our website and when you enquire about, book or participate in our programs.

2. What Personal Information We Collect

We may collect the following types of personal information:

Program bookings and enquiries

  • Full name (participant and parent/guardian)
  • Contact details (email address, phone number, residential address)
  • Child's name, age, year group and School
  • Emergency contact details
  • Medical or health information relevant to program participation (allergies, medical conditions, medications)
  • Payment and billing information
  • Consent and permissions related to program experiences

General contact and enquiry forms

  • Name and contact details
  • The content of your enquiry

Employment applications

  • Full name and contact details
  • Resume/curriculum vitae (which may include employment history, educational qualifications and referee details)
  • Professional qualifications and certifications (e.g. First Aid, coaching accreditations, tertiary education)
  • Working With Children Check (WWCC) card and status
  • Information about your skills, experience and suitability for a role
  • Health and physical fitness information relevant to the requirements of the position

3. Sensitive Information — Employment Applications

Some information collected as part of employment applications constitutes sensitive information under the Privacy Act 1988 (Cth). We collect this information only with your consent and only to the extent reasonably necessary for our employment processes and child safety obligations.

Working With Children Check (WWCC) details

Your WWCC card is a government-related identifier and is treated with the highest level of care. We collect this information because it is a mandatory legal requirement under the Working with Children (Criminal Record Checking) Act 2004 (WA) for all individuals working or volunteering with children at Rotation Learning. This information is used solely to verify your eligibility to work with children and is not used for any other purpose.

Health and fitness information

Some roles at Rotation Learning involve physically demanding activities. We may collect health or fitness information to assess your suitability for specific positions. This information is collected with your consent and handled in strict confidence.

Resume and work history

Your resume may contain personal information including employment history, educational records and referee contact details. This information is used solely to assess your application and will not be disclosed to third parties without your consent, except to referees you have nominated.

We do not retain unsuccessful employment application data beyond 12 months, after which it is securely destroyed.

4. How We Collect Personal Information

We collect personal information:

  • Directly from you when you complete forms on our website (program bookings, employment applications, contact forms)
  • Via email or telephone when you contact us
  • From referees you nominate as part of an employment application (with your knowledge)
  • Automatically through website cookies and analytics tools (see Section 9)

We will not collect personal information by unfair or unlawful means.

5. Why We Collect Personal Information

We collect and use personal information for the following purposes:

  • Processing program bookings and managing participant enrolments
  • Communicating with parents and guardians about program details, changes and updates
  • Responding to general enquiries
  • Assessing and processing employment applications
  • Verifying Working With Children Check compliance as required by law
  • Meeting our child safety and duty of care obligations
  • Processing payments for program bookings
  • Improving our website, program and services
  • Complying with legal and regulatory requirements

We will only use or disclose your personal information for the purpose for which it was collected, or a directly related secondary purpose, unless you have consented to another use or disclosure, or it is required or permitted by law.

6. Disclosure of Personal Information

We may disclose your personal information to:

  • Program delivery partners and venue operators, to the extent necessary to deliver the program your child is enrolled in
  • Consent is obtained for the partner School
  • Payment processing providers (e.g. PayPal) for booking transactions
  • Our website hosting provider, Webflow (United States)
  • The Working With Children Check authority (Department of Communities, WA) where required
  • Referees nominated by you as part of an employment application
  • Government agencies, regulatory bodies or law enforcement where required or permitted by law

We will not sell, rent or trade your personal information to third parties for marketing or commercial purposes.

7. Storage and Security

We take reasonable steps to protect personal information we hold from misuse, interference, loss, unauthorised access, modification or disclosure. Personal information is stored on secure systems, and access is limited to authorised Rotation Learning personnel with a legitimate need to access it.

Employment application data, including WWCC card numbers and health information, is stored securely and separated from general operational data. This information is accessible only to those involved in the recruitment process.

8. Overseas Disclosure

Our website is hosted by Webflow, Inc. (United States). By using our website, you acknowledge that certain technical data may be stored on servers located outside Australia. We take reasonable steps to ensure that overseas service providers handle your information in a manner consistent with the Australian Privacy Principles.

9. Cookies and Website Analytics

Our website may use cookies and analytics tools (such as Google Analytics) to collect non-personally identifiable information about how visitors interact with our site. This may include pages visited, time spent on the site and general geographic location. This information is used to improve the functionality and user experience of our website.

Our programs are designed for children, and we collect personal information about child participants from their parents or legal guardians. We do not knowingly collect personal information directly from children under the age of 18 without parental or guardian consent.
